Best Fleet Maintenance Software for 25-250 Vehicles: A Practical Shortlist

By Steve Wolfe ·

The best fleet maintenance software for 25 to 250 vehicles depends on where work gets stuck. A fleet with outside repair vendors buys differently from a company running its own shop. This RoadBays-authored shortlist groups seven products by practical fit. It is not an independent ranking, a customer survey or a promise that one product wins every category.

RoadBays: connect the fleet and the shop

RoadBays offers standalone fleet maintenance and shop management. When both parties use it, they share one live record from breakdown to paid invoice. PM, DVIR and DOT inspections, tires, warranty, fault-code insights and estimate-to-invoice work are part of its published offering.

Pricing is per user per month, all modules included, with no per-asset fees. Get the dollar quote from Support@RoadBays.com. Put it on the shortlist when repair handoffs matter; confirm actual user licensing, implementation needs and your customers' willingness to use the connected workflow.

Fleetio: a fleet-centered maintenance platform

Fleetio lists asset records, inspections, PM, work orders, parts, reporting, integrations and a maintenance shop network. Its displayed rates are $4 Essential annually or $5 monthly, $7 Professional annually and $10 Premium annually, per vehicle per month. Those rates assume a five-asset plan band; actual pricing varies by fleet band and terms.

It lists unlimited users. That may suit organizations with many people accessing fleet information. Confirm tier-level limits, especially if your fleet exceeds Essential's 100-vehicle limit or needs advanced work-order and inventory capabilities.

FleetRock: fleets, shops and managed maintenance

FleetRock explicitly supports both fleet operators and shop managers. Its FAQ covers PM, repair orders, inspections, warranties, inventory, billing, tires, fuel and customer access. The pricing page displays Self-Manage Basic at $7 and Pro at $12 per unit per month, with monthly and annual options to confirm.

Managed Maintenance uses a fleet-specific price, and the company allows mixing managed and self-managed units. Consider it when you need that service option, not just maintenance software. Establish responsibilities and onboarding scope before comparing its total with a software-only proposal.

Fullbay: start from the repair-shop side

Fullbay's offering centers on repair shops, including diesel and mobile operations. Its current page shows Express Single User at $149 per month. Basic requests contact for pricing; Pro and Elite have no current public dollar rates on that page. Enterprise also requires an inquiry. Confirm users, locations and agreement terms.

Pro lists QuickBooks, MOTOR and telematics connections; Elite lists additional service-information connections. It may be a strong shortlist candidate when your in-house or commercial shop needs those workflows. Do not compare Express's headline price with an unspecified multi-user configuration.

Whip Around: inspections and follow-up

Whip Around describes customizable inspections, preventive maintenance, work orders, compliance workflows, reporting and telematics connections. It is worth evaluating when inspection consistency and defect resolution across locations are central needs.

Its pricing URL served homepage content without a visible dollar rate in our check. Request current pricing rather than using historical rates from third-party comparisons. Demonstrate how inspection findings reach completed repairs, including outside-provider participation and approval evidence.

AUTOsist: maintenance, with optional tracking packages

AUTOsist publishes an All-in Maintenance package at $3-$6 per vehicle or asset per month billed annually, with a $59 monthly minimum. Monthly billing is 15% higher. It lists unlimited users and devices, PM, work orders, custom DVIR forms, inventory and fuel-card integrations.

Its maintenance-plus-GPS package is $28 per vehicle per month annually; the camera package is $55, each with a five-vehicle minimum. Evaluate it when you want that packaging. Confirm hardware, installation and other commercial details rather than assuming the headline covers every deployment cost.

Simply Fleet: lean fleets and in-house workshops

Simply Fleet's cards show Essential at $3 and Advanced at $5 per vehicle per month, or $30 and $50 per vehicle per year. Paid-plan comparisons show a five-vehicle minimum. Essential lists PM, inspections, fuel and expense tracking; Advanced adds work orders and inventory.

The page's FAQ still contains lower $2/$4 figures, so confirm a current quote before relying on a rate. Optional integration and equipment add-ons are listed separately. Consider it when those core workflows fit and you want a published per-vehicle structure, not because an outdated comparison claims a guaranteed savings.

Choose with one shared demo brief

Give every vendor the same sanitized inspection defect, planned service and outside repair. Ask for an estimate revision, parts usage, completed documentation and one management report. Then compare licensing, migration, training and third-party costs on matching assumptions. A pilot with the actual users is more valuable than a universal best-software badge.

Keep the comparison grounded

This is a RoadBays-authored comparison, not an independent ranking or a hands-on benchmark of competing products. Public documentation tells you what a vendor offers; it does not prove how well a particular setup will work for your team. Ask each vendor to demonstrate your workflow and put the agreed scope in writing.
