Fullbay vs RoadBays: Heavy-Duty Shop Software and Fleet Connections

By Steve Wolfe ·

Fullbay vs RoadBays starts with a simple question: are you buying for a repair shop, a fleet maintenance team, or a business that needs both? Fullbay emphasizes repair-shop operations. RoadBays offers each side independently and connects them when both use it. That difference is worth testing, not turning into an automatic winner.

What the public documentation supports

This table separates product focus from commercial terms. It does not score reliability, support quality or repair speed, because we have not independently benchmarked those outcomes. Confirm all required features in the proposed plan.

Start at the service counter

Take an actual job category from your shop and remove customer identifiers. Have the service writer identify the unit, document the complaint, prepare an estimate and request authorization. Then change the repair scope. You want to see how the system handles a normal complication, not just an uninterrupted sales demo.

RoadBays links the fleet maintenance case with shop work when both parties are users. Fullbay lists customer communication and portal capabilities. Ask each vendor who sees the estimate, where the approval is recorded and how a replacement service writer finds the latest decision. Neither an email notification nor a dashboard alone answers those questions.

Check the technician and parts workflow

RoadBays lists work-order punch-in, wrench versus travel time, inventory bins and customer-specific price tables. Fullbay lists inventory, cores and technician-related capabilities across its plans. Its Pro tier describes AI transcription, translation and note cleanup. Ask to see the precise technician workflow in the quoted plan.

Use a job with a part return, a second technician and work paused for approval. Confirm how time and parts appear on the final invoice and internal report. Do not assume advertised stock tracking guarantees that your chosen setup handles every receiving, return or costing rule. Demonstrate the exceptions before migrating live inventory.

Read current pricing, not an old search snippet

As checked November 8, Fullbay publishes Express Single User at $149 a month. Basic requests contact for pricing; Pro and Elite have no public dollar rates on the current pricing page, and Enterprise requires an inquiry. Month-to-month and annual agreements are available, with monthly billing. Older third-party price tables may not describe a new quote.

RoadBays publishes the model rather than a dollar amount: per user per month, all modules included, no per-asset fees. Contact Support@RoadBays.com. Build both proposals around actual users, locations, implementation and required connections. Do not call either option cheaper until the scopes and terms match.

Investigate the systems that surround the shop

Fullbay's Pro description includes QuickBooks, a MOTOR labor-guide integration and telematics; Elite names additional service-information connections, including Mitchell 1 products. Those can be decisive for a shop built around those tools. Ask about the exact edition, supported workflow and any separate subscription requirements.

RoadBays names integrations including Samsara, Geotab, Motive, Diesel Laptops, Stripe and Twilio, with an open API for other connections. That is not a claim that RoadBays has every accounting or service-information integration Fullbay lists. If a connection is mandatory, require a live demonstration or written implementation scope rather than treating API availability as a finished connector.

Where each may be the better fit

Fullbay may be the better fit for a shop prioritizing its named labor-guide, accounting and service-information ecosystem or a single-person operation that fits Express. RoadBays may be a better candidate when fleet maintenance and shop execution need to share the same repair record and its user-based pricing matches the organization.

For either product, include permissions, data export, invoice presentation and training in the pilot. Ask one fleet customer to review a sanitized example from its side. A good purchase should make daily work easier for the people authorizing repairs as well as the people doing them.

Keep the comparison grounded

This is a RoadBays-authored comparison, not an independent ranking or a hands-on benchmark of competing products. Public documentation tells you what a vendor offers; it does not prove how well a particular setup will work for your team. Ask each vendor to demonstrate your workflow and put the agreed scope in writing.
