Fleetio Alternative: Connect Fleet Maintenance and Shop Work in RoadBays

By Steve Wolfe ·

Looking for a Fleetio alternative does not mean Fleetio is the wrong product. It means your fleet has a particular job to get done. For a team running 25 to 250 vehicles, that job might be organizing PM schedules. It might also be getting a driver complaint through an outside shop without rebuilding the repair story at every handoff.

What Fleetio already brings to the table

Fleetio is fleet management and maintenance software. Its public feature list covers vehicle records, inspections, preventive maintenance, work orders, parts inventory, reporting, a maintenance shop network and integrations. Availability and depth vary by plan. That is a meaningful starting point for a fleet replacing separate spreadsheets and service logs.

Do not assume Fleetio stops at reminders or lacks shop-related tools. Its pricing matrix lists labor clock-in, markup and emailing work orders, quotes and invoices among its work-order capabilities, with plan differences. Compare the actual tier you would buy, not an entry plan against somebody else's complete demonstration.

Why put RoadBays on the shortlist?

RoadBays takes a fleet-and-shop approach: fleet maintenance software, repair shop software, or both. When a fleet and its shop both use RoadBays, they share one live record from breakdown to paid invoice. The case, estimate, approval, repair progress and invoice stay connected. That is the practical idea behind Connecting Maintenance.

Each side can also work on its own. A fleet can use RoadBays with vendors that are not RoadBays customers. A shop can serve customers who do not use it. The shared-record workflow depends on both sides using RoadBays; do not treat every outside vendor as automatically connected.

Compare the bill with the people who will actually use it

Fleetio publishes Essential at $4 per vehicle per month billed annually, or $5 billed monthly; Professional at $7 and Premium at $10, billed annually only. Its displayed prices assume a five-asset plan band. Fleet size range, contract term and payment term affect pricing, so those figures are not a guaranteed quote for 100 vehicles. Fleetio lists unlimited users.

RoadBays is per user, per month, with every module included and no per-asset fees. There is no public dollar rate; ask Support@RoadBays.com for a quote. A small group overseeing many assets may like that structure. A fleet with many people needing access should also price an unlimited-user model carefully. Neither billing unit guarantees the lower total.

Run one real repair through both systems

Pick an ordinary defect, such as an air leak reported during an inspection. Use a sanitized unit record, a photo, a meter reading and a short symptom description. Ask who receives the issue, how the repair is assigned and where an estimate is approved. Then change the scope after diagnosis and see whether the approval trail stays understandable.

Next, have a technician add labor and parts and finish the work. Ask the fleet manager to find the final invoice and history without help from the service writer. Measure missing details and duplicate entry rather than the number of screens. This is an evaluation exercise, not a claim that either vendor handles it better.

Check more than the headline workflow

RoadBays includes DVIR and DOT inspection tools, PM scheduling, tires by axle position, warranty tracking and AI insights on diagnostic trouble codes. Its shop workflow covers estimate to work order to invoice, with VMRS suggestions. Those are useful demo topics, not a substitute for checking your exact forms, parts process and reporting needs.

If Samsara, Geotab or Motive already supplies your fleet data, ask both vendors to show the relevant integration. Confirm fields, permissions, refresh behavior and failures. An integration logo does not guarantee every data item moves in both directions, and AI guidance does not replace a technician's diagnosis.

When Fleetio may be the better fit

Fleetio may be a better choice when your priority is a fleet-centered system with published plan pricing, unlimited users and a maintenance provider network that fits your operation. An existing successful rollout is another reason not to switch lightly. Include migration, training and lost context in the decision.

Consider RoadBays when connecting fleet decisions with shop execution is central to your next improvement. Start with a limited pilot, check the records at close-out and ask the people doing the work whether the process is clearer. Buy the workflow you can sustain, not the strongest headline.

Keep the comparison grounded

This is a RoadBays-authored comparison, not an independent ranking or a hands-on benchmark of competing products. Public documentation tells you what a vendor offers; it does not prove how well a particular setup will work for your team. Ask each vendor to demonstrate your workflow and put the agreed scope in writing.
